Booking Conditions

General Inclusions

  • Hotel accommodation,
  • Airport transfers,
  • All land transportation,
  • Tour guides during sightseeing,
  • Escorts (where indicated),
  • Toll taxes,
  • Driver allowances,
  • All meet and assist services,
  • Meals (where indicated),
  • Monument Entrances (if mentioned),
  • All National Park Entrances (if mentioned),
  • All interstate taxes & permits,
  • Parking,
  • Daily buffet breakfast,
  • All meals at National Park Resorts (when applicable).
 

The above is a non-exhaustive list and you should always refer to your TOUR ITINERARY INCLUSIONS which specifically indicates all the applicable inclusions for your tour plan.

General Exclusions

  • International airport taxes,
  • Additional expenses arising due to Force Majeure,
  • Flight cancellations,
  • Political disputes,
  • Entrance fees to monuments and parks,
  • Camera charges at monuments and national parks,
  • Any items of a personal nature,
  • Sickness or other causes beyond our reasonable control,
  • Lunches and dinners (if not mentioned in inclusions).

Where airfare for local flights are not mentioned separately and are mentioned in the “Inclusion List” then the local flights are included in the tour cost.

Local airfare, when shown separately, is not included in the tour cost and shall be paid in addition to the tour cost. In certain cases the airfare is also subject to revision by the respective airlines.

Deposits / Booking

For all tours, there is a minimum deposit of 20of the total tour value (it is calculated on the basis of hotels used, flights reserved, train tickets blocked, etc. and depends on the type of tour booked and at the discretion of the company) at the time of booking and the balance is payable 30 days prior to the commencement of the tour.

If less than 30 days are left for the arrival at the time of confirming the tour, full payment is required.

If International air tickets are booked by us then the full airfare cost would be required with the advance payment.

Cancellations / Refunds

All cancellations should always be sent by email. Cancelling the tour anytime within 30 days prior to commencement of the tour will result in forfeiture of 100% of the tour price excluding airfare.

Cancellation at a time before 30 day period would attract an equivalent minimum charge of 250 US$ per person or 20% of the tour value whichever is higher (Adults and children). Note that there is NO refund for wildlife safaris from the Government Authorities. In case of luxury train tours and cruises, package airfares, etc. the cancellation policy of the Railway Authorities or concerned departments / companies / airlines will apply.

You also confirm that in the case of a tour that gets cancelled where no deposit were made for a confirmed tour and / or the balance was not paid 30 days prior to the tour commencement (for any reason e.g. the special arrangement by means of a credit card guarantee etc.), the above will still apply and you would send us the cancellation charges on good trust or the credit card guarantee will be charged.

Note that once a tour is cancelled, if there is any credit towards the booker’s (read “client”) account then the same will be refunded as soon as possible but always within the same financial year (April to March). This is because of the stringent Government laws for foreign exchange remittance from India. In the same way if a tour is cancelled and there is a debit in the tour account then the booker (read client and or guest) would transfer the balance amount to CONCORD EXOTIC VOYAGES INDIA Pvt. Ltd. or acknowledge the credit card guarantee.

Travel Insurance

Travel insurance is strongly advised at all times since we will never, under any  circumstances, be able to refund the tour cost amount that falls in the purview of this contract.

India is a vast, diverse and intense country. At times there are situations where flights and trains get cancelled / delayed / rescheduled due to bad weather and / or Force Majeure such as local unrest, strikes, natural calamities, etc. Under such conditions we always try to advise you on the best route possible and we even consult you in doing that. It is to be noted that though we try our best, we do not commit any refunds whatsoever for unutilized services due to unforeseeable reasons like this. If, for any reason, the guest (read ‘Client’) changes the tour plan while on the tour then no refund or an adjustment is possible in such a case.

In most of the cases, if we have not paid for the services already, we do adjust the same maintaining high levels of transparency. But, in many cases, it becomes almost impossible to get a refund as the hotels and subsidiary services (transporters, guide, assistance etc.) require an advance payment subject to forfeiture on cancellation.

For cases beyond our control, if we have to buy additional air tickets and book hotels or make any alternate arrangements, the same will be charged as applicable and shall be payable by the traveller.

If the traveller changes the tour plan during the tour then all the new services and hotels will be chargeable as per the revised plan. We will try to adjust the pre-booked part being changed with the alternate bookings but again, we do not commit.

Assumption of Risk & Release of Liability

By booking the tour with CONCORD EXOTIC VOYAGES INDIA Pvt. Ltd., you acknowledge the possible risk during travel in India. You also accept the responsibility for your own welfare and waive future claims against CONCORD EXOTIC VOYAGES INDIA Pvt. Ltd. for liability to the maximum extent permitted by law. You understand that CONCORD EXOTIC VOYAGES INDIA Pvt. Ltd. contracts with a network of operators in India, Sri Lanka, Maldives, Tibet, Bhutan & Nepal through affiliate tour operators. These third party service providers are deemed qualified and experienced to the best of company’s knowledge.

Therefore, you fully release and hold harmless CONCORD EXOTIC VOYAGES INDIA Pvt. Ltd. from any and all liability for all their acts and / or omissions. You agree that this Assumption of Risk and Release of Liability statement shall be legally binding upon you including, but not limited to, all minors under the age of 21 travelling with you, your heirs, successors, and legal representatives.

You further agree to fully indemnify CONCORD EXOTIC VOYAGES INDIA Pvt. Ltd. from all and any liabilities to the maximum extent permitted by law and for all its costs, expenses, damages, etc (including attorney’s fees) arising from or attributable to any claims or actions arising from your travel with CONCORD EXOTIC VOYAGES INDIA Pvt. Ltd. and which claims or actions are specifically released by you in this document.

Additional notes:

Booking a tour with us suggests that all of us understand and accept the above. This document has been well researched and most of the inputs have come from our past guests and even the language and final editing has been done by some of our good friends who travelled with us as clients from all over the world. Still if the language is too harsh or the conditions at times seem biased and in favour of the company kindly accept our apologies for the same as it is unintended. At the same time the hotels, flights, trains, etc. have stringent cancellation rules that we need to follow to be in business with them and maintain a sound track record. We always try to be very fair and are known for our “service first” & “at your service” attitude.
